Standard Cancellation Policy

We understand that plans can change. Our refund policy is designed to be fair to both our customers and our business partners who reserve venues and prepare for events.

48+ Hours Before Event

Full Refund: 100% of ticket price minus processing fees ($2.99 per ticket)

24-48 Hours Before Event

Partial Refund: 50% of ticket price

No Refund: Events are non-refundable within 24 hours

Special Circumstances

Emergency Situations

We understand that true emergencies can occur. In the following situations, we may provide refunds even within the 24-hour window:

  • Medical Emergencies: Hospital admission or serious injury (medical documentation required)
  • Family Emergency: Death or critical illness in immediate family (documentation required)
  • Natural Disasters: Severe weather preventing travel to Chicago
  • Legal Obligations: Jury duty, court appearances, or military deployment

COVID-19 and Health Concerns

If you test positive for COVID-19 or another contagious illness within 48 hours of an event, we will provide a full refund with proof of positive test result. Your health and the safety of other participants is our priority.

All Access Chicago Cancellations

When we cancel events, you’ll receive:

  • Full Refund: 100% including all fees, processed within 3-5 business days
  • Alternative Date: Option to reschedule to another event at no additional cost
  • Event Credit: 110% credit toward future events (credit expires in 1 year)

Common reasons for All Access Chicago cancellations include severe weather, insufficient bookings (less than 8 participants), venue closures, or safety concerns.

Ticket Transfers

Transfer to Another Person

You can transfer your ticket to another person up to 24 hours before the event at no additional cost. Both the original purchaser and new attendee must be 21+ years old.

Transfer to Another Date

Subject to availability, you can transfer your ticket to a future event:

  • 48+ hours before: Free transfer to any available event
  • 24-48 hours before: $10 transfer fee per ticket
  • Less than 24 hours: $25 transfer fee per ticket (if available)

Refund Method

Refunds are processed to the original payment method. We cannot refund to a different card or account for security reasons. If the original payment method is no longer available, please contact us for alternative arrangements.

Processing Fees

Credit card processing fees ($2.99 per ticket) are non-refundable except in cases where All Access Chicago cancels the event. These fees are charged by our payment processor and cannot be recovered.

How to Request a Refund

Online Cancellation

For cancellations 48+ hours before your event, you can cancel online through your booking confirmation email or account dashboard. Refunds are processed automatically.

Phone Cancellation

Call us at (312) 555-CRAWL during business hours (Mon-Fri, 10AM-6PM CT). Have your booking confirmation number ready.

Email Request

Email refunds@allaccesschicago.com with your booking details and reason for cancellation. Include documentation for emergency refund requests.

  • Event date and name
  • Reason for cancellation (for partial/emergency refunds)

Private Events and Group Bookings

Custom Cancellation Terms

Private events with 10+ people may have custom cancellation terms depending on venue requirements and planning involved. These terms will be clearly stated in your booking agreement.

Typical Private Event Terms

  • 7+ days before: Full refund minus planning fee ($50)
  • 3-7 days before: 50% refund
  • Less than 3 days: 25% refund or reschedule option

Partial Group Cancellations

If some members of your group need to cancel, the same individual cancellation terms apply to those specific tickets. The remaining group can proceed with the event if minimum requirements are met.

Weather Policy

Severe Weather Conditions

All Access Chicago events continue in light rain, snow, or cold temperatures. We’ll adjust routes to include more indoor time. Events may be cancelled for:

  • Severe thunderstorms with lightning
  • Blizzard conditions or ice storms
  • Temperatures below -10°F (-23°C)
  • Wind speeds above 40 mph

Weather Cancellation Benefits

If we cancel due to weather, you receive:

  • Full refund including all fees
  • Free transfer to any future event
  • 110% credit toward future events
  • Priority booking for rescheduled events

Disputes and Appeals

Refund Disputes

If you disagree with a refund decision, you can appeal within 30 days of the original decision. Appeals should include:

  • Original booking confirmation
  • Documentation supporting your request
  • Detailed explanation of circumstances
  • Any relevant photos or evidence

Resolution Process

Appeals are reviewed by our customer service manager within 5-7 business days. We’ll contact you with questions or additional documentation needs. Final decisions are made within 10 business days.
